Email Templates and Automated Notification System

The Email Templates module is the central area where all system-generated emails are managed. All automated communications such as appointment confirmations, order notifications, payment confirmations, cancellation emails, password resets, new account creation, booking reminders, and newsletter campaigns can be created and edited through this module.

Each email template supports multiple languages (Locale selection), allowing content to be customized per language. The Title field is used as the email subject line, while the Content field defines the main body of the email. The Footer section is used for fixed information displayed at the bottom of each email, such as address, contact details, and legal notices.

Dynamic variables are supported to automatically personalize and update email content. For example:

  • {company} → Company name
  • {logo} → Logo
  • {email} → Email address
  • {phone} → Phone number
  • {address} → Address
  • {copyright} → Copyright text
  • {year} → Current year

To use these variables, simply copy and paste them into the Content or Footer fields. When used, the system automatically pulls the relevant data from the General Settings module. For example, if you update your phone number in settings, all email templates using {phone} will automatically reflect the change across the system.

Email design settings can also be customized. Background Color and Button Color options allow emails to be aligned with the brand’s visual identity.

This module ensures that all automated email communication is centrally managed, providing consistent and brand-aligned messaging across all interactions.

Email sending behavior is controlled via the Status (On/Off) setting. When a template is activated, the system automatically sends emails when the related event occurs.

Additionally, Notify Customer and Notify Admin settings define whether emails are sent to customers, administrators, or both. When “Send to Admin” is enabled, a copy is sent to the configured Admin Email address. An additional Alternative Admin Email can also be defined if needed.

This provides full flexibility over email delivery, ensuring messages reach customers, internal teams, or both as required.
